Group Management Plan

The purpose of the Group Management Plan (GMP) is to set down a set of working rules for the group.  It must contain the following information:

1.      Name and e-mail for each member of the group.

2.      Your choice for group coordinator. 

This person will be my contact point with the group.  All communication regarding group matters from the group should come to me through the group leader.  Each such communication should be copied to all other group members.  The main exception to this would be if other members of the group feel that the group coordinator is not doing his or her job and have tried to discuss this with him or her without success.  Then I need to hear about it so that I can take corrective action.  That can, of course, get ugly.
 

3.      A set of rules of interaction for the group. 

This is basically a description of how you plan to work together as a group. 

One of the most important things you need to agree upon is how you are going to communicate with each other.  For example, you could set up a message board for each other on a web site or you could decide to communicate using e-mail.  Also, depending on the style of work you choose to adopt, you will have a number of face-to-face group meetings.

Some General Rules:

Each group meeting should have an agenda that is sent around to all members of the group before the meeting.  These meetings will be organized by the coordinator, either at his or her request or at the request of another group member.  The coordinator is responsible for producing the agenda and making sure that all members of the group are informed of the time and location of the meeting and get the agenda in good time.

I advise all group members to keep all e-mail correspondence with other members of the group so as to avoid disagreements over exactly what was said in any future discussion either between the members of the group or between the group and me.

I also advise you to confirm all oral agreements and understandings in writing through e-mail.  Again, this is to make sure that you are all on the same page and to avoid disagreements in any future discussion.
